Why most exporters should rent, not own
Cold storage is a high fixed-cost, high-utilization business: the economics work when a facility runs near capacity year-round, spreading refrigeration, compliance and maintenance costs across constant throughput. Most exporters have the opposite profile — seasonal volume tied to a harvest window, or a product mix that shifts between chilled and frozen needs across the year. Building or buying a facility sized for peak season means paying for idle capacity the rest of the year; sizing for average throughput means turning away volume at peak.
The exceptions are real but narrow: a single-commodity exporter running near-constant volume through one facility, or an operation where cold storage sits directly on the packing line and can't be decoupled from the packhouse itself without adding a transport leg. Outside those cases, renting from a specialized operator — who spreads the same fixed costs across many exporters' seasonal peaks that don't all land at once — is usually the better economics, not just the lower-hassle option.
Temperature zones and certifications: verify, don't take the spec sheet
Cold-storage marketing reliably lists the same handful of zones — frozen (roughly -18°C to -25°C), chilled (roughly -4°C to 6°C), and dry/ambient — and the same certifications: ISO 9001 for quality management, ISO 22000 or HACCP for food safety, and Good Distribution Practice (GDP) specifically for cold-chain operators. All of that is table stakes, not differentiation, and none of it tells you whether a specific facility actually holds those ranges under real conditions — a door opening fifty times a day during peak season, a compressor running at end-of-life, a loading dock with no air curtain in a hot climate.
Ask for the logged temperature record from a comparable recent shipment — not the facility's general capability, but an actual data-logger trace from a pallet that moved through their dock and storage in the last month. A facility confident in its performance will have this ready; one that stalls on the request is telling you something. Ask specifically about door-opening frequency during peak hours and whether loading docks have air curtains or vestibules, since dock transitions are where cold-chain breaks most often happen, not steady-state storage.
Match the certification to what you actually ship: GDP matters far more for pharmaceutical-adjacent or highly temperature-sensitive product than for standard chilled produce, while HACCP or ISO 22000 is the baseline anyone handling food should already carry. A facility with five stacked certifications isn't automatically better for your specific commodity than one with the two that actually apply to it.
The contract terms the sales pitch skips
Storage overage works like demurrage on a container: a quoted rate usually assumes product moves within an expected window, and every day past that window costs more — sometimes steeply more, to discourage the facility being used as long-term storage. Get the exact overage schedule in writing before you need it, not after a shipment sits longer than planned because a buyer delayed pickup.
Product liability is the term most worth reading closely: if a compressor fails and a full frozen room turns over its temperature, whose loss is that? Standard cold-storage contracts commonly cap the facility's liability at a nominal per-unit or per-pallet figure that will not come close to covering the value of a lost shipment — that gap is exactly what cargo insurance exists to cover, and you should confirm your policy actually extends to product in third-party cold storage, not just in transit.
Finally, check what happens at handoff: who signs for temperature compliance when product arrives, what the rejection process looks like if the facility's own receiving check finds product already out of range, and whether that rejection recourse runs against your carrier or against the facility itself. A clear handoff protocol, agreed before the first shipment, is what prevents a temperature dispute from becoming a three-way blame exercise between carrier, facility and buyer after the fact.
